Property management system

A hotel PMS that keeps the books in step.

Take bookings, run the front desk and manage housekeeping in one place. When a guest checks out, the invoice, revenue and tax are already in your accounts.

What the PMS covers

Run the guest side without the paperwork.

Rooms and rates

Set up room types, individual rooms, rate plans, seasons and board options such as bed and breakfast or full board.

Reservations

See availability on a calendar, take individual and group bookings, hold deposits and track sources such as walk-in, direct or agent.

Front desk

Check guests in and out in a few clicks, keep guest profiles and ID details, and move guests between rooms when plans change.

Guest folios

Room charges post every night. Add extras, take deposits, split a bill between guest and company, and record M-Pesa, card or cash payments.

Housekeeping

Rooms move from occupied to dirty, clean and inspected. Housekeepers see their list; the front desk sees which rooms are ready.

Night audit and reports

Close the day, post room charges and get the manager's report: occupancy, average rate, revenue per available room and in-house list.

Connected to the back office

What happens after checkout.

This is where a stand-alone PMS stops and Tivuzo keeps going.

  1. Folio closes

The guest's bill, including restaurant and bar charges, becomes an invoice.

  2. Revenue posts

Rooms, food, beverage and tax land in the right accounts automatically.

  3. Payment is matched

The M-Pesa, card or cash payment is recorded against the invoice for reconciliation.

  4. Company bills follow up

Anything charged to a company or agent goes to receivables, ready to statement and chase.

PMS questions

Questions about the PMS

What does a hotel PMS do?

A property management system (PMS) runs the guest side of a hotel: room inventory and rates, reservations, check-in and check-out, guest folios and housekeeping status. In Tivuzo the PMS also posts every folio to accounting, so revenue never has to be re-typed.

Can restaurant and bar bills be charged to a room?

Yes. The restaurant and bar POS can post a bill to an in-house guest's folio. It appears on the room bill at checkout and in revenue by outlet.

Does the Tivuzo PMS handle groups and full board?

Yes. You can book several rooms under one group, hold deposits, and attach board options such as bed and breakfast, half board or full board to a rate plan.

Can we move our existing bookings into Tivuzo?

Yes. During setup we import your rooms, rates, guest list and future reservations from a spreadsheet export of your current system.
